Customer Services Administrator (copyright and license)

The EORTC Projects and Services department is looking for a Customer Services Administrator to reinforce its team. The Customer Services Administrator will work under the supervision of the Head of Services.

Within the EORTC organization, the Project and Services department proposes and further develops EORTC services to commercial partners. Such services include the licensing of EORTC copyright materials for commercial use, translation, or services for electronic Clinical Outcome Assessment (eCOA). The Customer Services Administrator is the first interface between EORTC commercial partners and the EORTC teams, mainly Quality of life, Accounting and Contract teams, regarding commercial requests managed by the Services Department.

Main responsibilities / Major Activities

  • Commercial Requests: Respond to inquiries regarding the use of EORTC Quality of Life questionnaires, translations, and other commercial services. Provide detailed information on terms and conditions for accessing copyrighted materials and services.
  • Agreement Management: Draft license user and eCOA agreements and oversee the signature process to ensure timely and accurate completion.
  • Invoicing: Prepare and issue invoices, ensuring they are accurately recorded both internally and in external systems.
  • Translation Coordination: Manage the coordination of translated versions of questionnaires as requested by commercial users.
  • Document Provision: Supply EORTC Quality of Life questionnaires, certificates, and other documents as requested by commercial users.
  • Customer Support: Offer general support to commercial users and liaise with internal EORTC teams, including Quality of Life, Finance, and Contracts departments, to address queries.
  • Process Improvement: Participate in the review and revision of departmental processes, and propose continuous improvements for SOPs, WINs, trackers, and contracts.
  • Commercial Development: Actively support the development and expansion of new commercial opportunities for the department.

Profile

  • Bachelor’s degree or equivalent experience (minimum 5 years)
  • A previous experience in customer service in a strong asset
  • Excellent verbal and written communication skills for effective interaction with customers, department and groups
  • Service-oriented and solution-minded, with a strong team player mentality and agility
  • Strong administrative and organizational skills
  • Fluent in English
  • Very good knowledge of MS Office, particularly Excel for managing data & creating report
