The Assistant to Scientific Direction works under the hierarchical supervision of the Scientific Director and provides comprehensive administrative, organisational, and coordination support to the Scientific Director as well as the departments in the scientific division of the organisation.
Objective
Support and provide administrative assistance to the Scientific Director, as well as to the Head and Associate Head of the Medical, Statistics and Quality of Life Departments.
Main responsibilities / Major Activities
- Manage the agendas and support prioritisation of meetings and deadlines
- Organise internal and external meetings, including preparation and follow‑up of actions (claiming refund expenses)
- Coordinate travel and logistics for scientific meetings and external engagements
- Providing support with acknowledgments and follow-up of EORTC publications
- Act as an administrative liaison with internal teams and external partners
- Provide administrative support to collaborative research programmes and grant‑related activities
- Support administrative tasks linked to clinical trial documentation and document quality control
- Support administrative follow-up of scientific research projects and datasharing request
Profile
Requirements:
- Bachelor’s degree in Life Sciences, Health Sciences, or a related field with 3 years’ experience in an administrative role
- Administrative experience in the clinical trials or clinical research environment is an strong asset
- Excellent command of English (spoken and written); proficient in French and/or Dutch
- Strong administrative and organisational skills and time-management skills
- Ability to coordinate projects and collaborate effectively across cross-functional teams
- Proficiency of MS Office 365 (Word, Excel, Powerpoint, Outlook, Teams)
- Excellent communication and interpersonal skills and customer oriented
- Detail oriented
- Experience in eTMF software is an asset
