Administrative Assistant and Clinical Trial Insurance Officer

The Administrative Assistant and Clinical Trial Insurance Officer supports administrative tasks related to the functioning of the Clinical Operations Department and manages central coordination of clinical trials insurance under the supervision of the Associated Head of the Clinical Operations Department. This is a full-time position.

Main responsibilities / Major Activities

  • Provides administrative support to the Clinical Operations Department including: Assisting with the filing of site documents collected across studies (CVs, Lab libraries, …); Maintaining study and site contact details in the Clinical Trials Management System; Archiving coordination; Setting-up of meetings (phone conference, face to face, Teams,…); Follow-up on site closure activities (including collecting missing documents from sites); Support in TMF QC activities
  • Back-up for reception duties
  • Other administrative support as needed
  • Manage insurance coverage requests for (new) studies
  • Control validity of insurance relevant to the study timelines and patient accrual
  • Manage insurance coverage updates
  • Advise teams from all departments on insurance questions
  • Provide reports to respective brokers on ongoing policies/required changes
  • Proceeds with estimations of insurance needs for annual policies
  • Maintains the contents of the CTMS and databases
  • Filing and linking insurance documents to appropriate studies
  • Quality checks on coded data to ensure consistency
  • Support and training of other encoders
  • Training related to general insurance procedures

Profile

  • Bachelor’s degree or experience in a similar function
  • Experience in a clinical trials environment is an asset
  • Knowledge in clinical trials
  • Proactive mindset
  • Excellent team player
  • Good organizational skills, ability to manage multiple tasks, and meticulous and detail-oriented
  • Good communication skills
  • Computer literacy: e.g. Microsoft Word, Excel, PowerPoint, Outlook.
  • GCP certification is an asset
  • Excellent written and spoken English
  • Strong interest in EORTC mission
